Ordering

Catering orders may be placed at pandawsu.com or by contacting the General Manager directly at (313) 356-7627.

We request a minimum of 5 business days’ notice for catering orders. Orders placed with less notice will be accommodated where possible, subject to product availability and kitchen capacity, and may be subject to a limited menu.

All orders must be confirmed at least 72 hours prior to the event date. Orders not confirmed within this window may not be fulfilled.

Confirmation

A written confirmation is provided when your order is placed. Please review it for accuracy — date, delivery time, location, menu selections, quantities, and guest count.

Confirmation of your order constitutes your agreement to these terms, including the pricing, quantities, logistics, and cancellation provisions listed below.

Revisions

Requests to change menu items, quantities, guest count, delivery time, or location must be submitted at least 72 hours prior to the event date. Changes are subject to availability and may affect pricing.

Changes requested inside 72 hours will be accommodated where possible but cannot be guaranteed. Once production has begun, quantities cannot be reduced.

Guest Counts

Your order quantities are based on the guest count provided at booking. Your final guest count is due 72 hours prior to the event. If no final count is provided, the count on your confirmation becomes your guarantee.

Billing is based on your guaranteed count or the quantities actually prepared, whichever is greater.

Cancellations

Cancellation charges reflect food, labor, and preparation costs already committed at the time notice is received.

Food prepared for a cancelled order remains the property of the customer. Where an order has been produced, we will deliver it to a location of your choosing on or near campus, or hold it for pickup, at no additional charge. Food is not resold and is not discarded on your behalf without your instruction.

Cancellation notice must be provided to the General Manager by phone at (313) 356-7627 or by email. Notice given to store staff, delivery personnel, or at the service gate does not constitute cancellation notice.

University Closure and Weather

If Wayne State University officially closes or delays operations, catering events scheduled during the closure or delay are automatically cancelled. Charges are limited to expenses incurred; any food already produced is released to the customer under the terms above.

An advisory, alert, or warning that does not result in an official University closure or delay does not constitute an automatic cancellation. If conditions may affect your event, contact us as early as possible — cancellation charges are determined by when notice is received, not by the reason for cancellation.

Rescheduling

A cancelled event may be rescheduled. Rescheduled events are processed as new orders requiring separate payment. Charges applied to a cancelled date are not transferable or creditable to a rescheduled date.

Delivery

Fees depend on how your order is served. Every fee is shown on your estimate before you confirm, and again on your invoice.

Off-campus mileage is measured as driving distance from the store at 5221 Gullen Mall. We deliver within 25 miles; beyond that, call us and we’ll quote it individually. The rate in force when you submit your request is the rate you are charged, even if our rates change before your event.

Please ensure the delivery location is accessible at the scheduled time, including any building or room access required. If our staff cannot access the delivery location at the scheduled time, the order will be returned to the store and held for pickup, and the order is considered delivered for billing purposes.

Food Safety and Holding

Catering orders are prepared for service at the scheduled delivery time. For food safety, hot food should be served within two hours of delivery and should not be held at room temperature beyond that period.

Once your order is handed over, responsibility for holding, serving, and storage passes to you — except on Hot Bar service, where our staff remain on site for the agreed service window.

What’s included, by service type

What arrives with your order depends on how you book it. Chafing dishes, warming equipment and staffed service are provided only with Hot Bar service — Pickup and Drop-off orders are supplied in disposable catering trays and are not kept hot after handover.

Allergens

Panda Express #5121 is not an allergen-free facility. Our menu items are prepared in a shared kitchen and cross-contact cannot be guaranteed. Guests with severe allergies should be advised accordingly.

Please notify us of dietary requirements at least 72 hours in advance and we will advise what accommodations are available.

Payment

A 50% deposit is required to secure your event date. Your invoice shows the deposit amount and the balance.

Payment is due 72 hours prior to your event date — the same deadline as your final guest count and any tax-exemption certificate. If your order is confirmed within 72 hours of the event, payment is due upon receipt of invoice. Other arrangements may be made in advance.

Accepted payment methods include Visa, Mastercard, American Express, and Discover. Wayne State departmental payment arrangements are available on request.

Sales tax: Orders are invoiced with Michigan sales tax at 6%, applied to food. Delivery fees are not taxed.

Tax exemption: Tax-exempt organizations must provide a copy of a current tax-exemption certificate at least 72 hours prior to the event date. Orders without a certificate on file will be invoiced with applicable Michigan sales tax.

Bottle deposit: Michigan law requires a 10¢ deposit on each returnable beverage container. Where your order includes them, the deposit appears as its own line on your invoice, itemised by container count. It is a refundable deposit rather than a charge for goods, so it is not taxed, and it applies to tax-exempt orders as it does to any other.
